Administrative Assistant – Student Accounts
Provides comprehensive administrative support and customer service in the Business Office, specifically related to student accounts. This role will involve managing financial records, assisting students with inquiries, and performing general office duties.
Qualifications:
Education/Certification:
- High school diploma or equivalent required; associate’s degree preferred.
- College hours in accounting highly preferred.
Special Knowledge/Skills:
- Strong organizational and planning skills.
- Excellent communication abilities, both verbal and written.
- Proficiency in standard office software applications (Microsoft Office, email, internet).
- Ability to maintain confidentiality and exercise good judgment on sensitive issues.
- Customer service techniques and ability to establish effective working relationships.
- Consistently arrives on time, meets deadlines, and respects schedules to maintain efficiency and teamwork.
- Exhibits a strong ability to accept direction and feedback in a constructive manner, contributing to personal and team growth.
Experience:
- Minimum of one year of clerical, bookkeeping, or related work experience involving financial record keeping and data management.
Major Responsibilities and Duties:
- Perform office duties in support of the Business Office and administrative tasks including answering phones, scheduling, data entry, maintaining spreadsheets and databases, and managing files.
- Assist students with inquiries regarding account balances, payment status, and refund requests, providing excellent customer service.
- Utilize standard software applications to perform bookkeeping, data management, and reporting.
- Prepare and distribute statements and reports to students as needed.
- Maintain organized systems of departmental records and documents.
- Coordinate meetings, events, and travel arrangements for the department including requisitioning and ordering office supplies.
- Operate office equipment such as copiers and postage machine.
- Conduct research related to invoices, general ledger entries, or student account issues.
- Perform other duties as assigned by the Executive Director or department supervisor.
Salary:
Commensurate within the Texarkana College pay scale for position.
